You now have the ability to add files both within a task and in the comments section.
Adding files to the body of a task
Firstly, adding a file to the body of a task can be done via the shortcut available on the " Summary " tab or from the " Files " tab.
From the dedicated tab, a file can be added in two ways:
- By selecting it from your computer.
- By entering the URL of the document.
Once your file is added, it will automatically be classified in the " Files (x) " tab as below ( note that the number in parentheses " (x) " represents the total number of files inserted in the task. This counts both the documents in the body of emails and the comments):
By default, the last added document is displayed at the top of your section.
Please note :
- A total of 10 files (excluding files from comments) can be added to a task.
- When a task is duplicated, files are not duplicated.
A second solution is available to you regarding adding files: via comments.
This action can be performed via the task comments, accessible from the " Comments " tab or directly from the " Summary " tab. To do this, simply go to an existing task. When adding a comment, a new action button appears with the following label " Add files ".
Once the document is added, it will be represented by an icon:
You have the possibility to delete your document before any saving with the small cross available for this purpose:
There is no limit on the number of files from comments. However, a single comment can contain up to six files maximum.
Actions available on files
For each file added in the dedicated tab, five actions can be performed:
- Download : you have the possibility to download your document.
- Rename : All files imported into tasks can be renamed. This action only appears in the " Files " tab.
- Preview (only for supported formats)
- Delete : Any imported document can be easily and permanently deleted.
- Classify in the EDM : your documents will be automatically added to the “Documents” cross-functional module.
- Note: from the moment a file is classified in the GED, the storage in the GED and in the task have independent behaviors: if I rename or delete the file in the task, this will neither rename nor delete the file in the GED and vice versa.
Show documents added to tasks
Only documents uploaded in the body of the task will be visible by default:
To display all files from the body of a task and a comment, simply select the " Show files from comments " checkbox:
Via this checkbox, you will find all the documents dedicated to this task:
