Gantt project planning

Introduction

On a Project sheet, you can define a schedule.
In its minimal form, the schedule will only contain a start and end date for the Project.
In an advanced form, if required, it will contain a detailed schedule with Lots, Phases, Activities and Milestones in Gantt format.

The 1st objective of this schedule is to provide, with a minimum of effort, a synthetic and macro view of the schedule for each project, and to provide an overall view of the project portfolio schedule.
In this way, it provides an overall view for IT department management, and a communication and prioritisation tool for company management.

To find out more :
  1. the progress management system allows you to project the overall progress of the project and the project portfolio onto these same views.
  2. The Gantt tool also allows you to create a very detailed schedule.

Abraxio manages project planning (Gantt) and budget planning (budget/staffing) separately.
During the Definition phase or when replanning, the 2 schedules may be different; it is up to the Project Manager to make the 2 schedules consistent.
The Gantt Planning presents the intention (duration of the project and potential start date) to work upstream on the macro orchestration between projects (Arbitration and project portfolio scenario). Once started, it presents progress (progress by Lot and Phase, and time lags). The budget schedule must reflect the reality of expenditure and staffing.

Abraxio's management schedule is based on working days (Monday to Friday). A public holiday schedule is standard in Abraxio. You must therefore select dates corresponding to working days. You will be alerted if this is not th
e case.

Composition of the Gantt Planning

The Gantt Planning is made up of 4 types of object:
  1. Lot: lots are used to represent complex projects made up of several lots. They work like phases but can only exist at the 1st level of the object hierarchy.
  2. Phase: phases represent Project phases (Design, Implementation, etc.). They can exist at the 1st level, under lots or can be nested (sub-phases).
  3. Activity: activities represent tasks/actions to be carried out by players (e.g. "Drafting general specifications").
  4. Milestone: milestones correspond to a key date in the Project (e.g. a deliverable, a validation instance, etc.). They can be called "Commissioning" to mark important milestones in the completion of the Project. These Commissioning Milestones are represented in the Summary View of the schedule and in the Gantt Planning of the Project portfolio.
If you want to manage macro-planning suitable for the Project portfolio, use Lots, Phases and Commissioning Milestones.
If you want to manage a detailed schedule, use Activities and Milestones.
In addition, Abraxio manages :
  1. Links/dependencies between objects
  2. Progress

Initialising the schedule

When you first access the Gantt Planning from the Management tab or from the Scheduling / Gantt Planning tab, you are taken to the schedule initialisation screen:
                         

You have 3 options to initialise your schedule:
  1. Empty : a single Phase will be created automatically based on the Project start and finish dates.
  2. From a template : based on the Project start and end dates, Abraxio will automatically create a Design Phase, a Realisation Phase, a Deployment Phase and a Commissioning Milestone.
  3. From a copy of an existing project : after selecting the project to copy, Abraxio will automatically copy the Gantt Planning, starting it at the defined project start date.
Then fill in the project start and end dates.
When you copy an existing schedule to start your new Gantt on a new time frame, the schedule is automatically scaled.

Schedule editing

Access

In the Scheduling / Gantt Planning tab, you can access the detailed Gantt Planning in editing mode : 
      
The header bar summarises important information and alerts you to actions to be taken:
  1. Stage / Project Status
  2. Project dates: start and finish dates defined by the Gantt Planning and updated automatically.
  3. Budget / Staffing: budget Scheduling for the Project. If this is not defined or is not between the Project dates, Abraxio alerts by turning red.
  4. Next Commissioning : date of the first Commissioning Milestone not met. If this date has passed, Abraxio alerts you by turning this indicator red. You must then either validate the Milestone if it has been reached, or reschedule it.
  5. Milestones overdue: number of milestones not reached with a date in the past.
  6. Milestones validated: number of milestones reached.
  7. % Progress : each lowest level object (leaf) in the Gantt defines a duration in days and a percentage of progress. Overall progress is equal to the sum of the object durations x their % progress divided by the sum of the object durations.

Utility Bar

A range of tools are available for manipulating the Gantt Planning:
      
  1. Add : create a Lot, Phase, Activity or Milestone. Opens the popup for defining the object to be created.
  2. Edit : edit the selected Lot, Phase, Activity or Milestone. Opens the popup window for editing the selected object.
  3. Move Up/Down: allows you to manage the order of objects in the Gantt. Select the object you want to move, then move it up or down.
  4. Raise level: allows you to make the selected object the child of the object of the same level above it.
  5. Decrease level : changes the selected object to the same level as its parent.
  6. Delete: deletes the selected object. Note that if the object has children, they will also be deleted.
  7. Detailed view: : increases the zoom level.
  8. Synthetic view : folds the Gantt object tree to obtain a synthetic view.
  9. Detailed view : unfolds the Gantt object tree to view all the objects.
  10. Zoom in : increases the zoom level to work on part of the schedule.
  11. Zoom out: decreases the zoom level.
  12. Auto-fit : adjusts the zoom level automatically to view the schedule from start to finish.
  13. Expand left: increases the workspace to add objects before the project start date.
  14. Expand right: increases the workspace for adding objects after the project end date.
  15. Undo : cancels the last actions (up to a limit of 10 actions). This action works with the CTRL+Z shortcut.
  16. Redo : restores the last actions (up to a limit of 10 actions). This action works with the CTRL+Y shortcut.
  17. Links with constraints: allows you to define whether you wish to keep the delay carried by the links when moving an object. When a Gantt Planning is initialised, this parameter takes the standard value from your organisation's configuration.

Global operations on the Gantt planning : 

      

  1. Reset : this function allows you to reset your schedule by starting from 0. As long as you have not saved, you will be able to go back.
  2. Delete : deletes the current schedule and redirects you to the schedule initialisation screen.
  3. Undo : cancels the current modifications and returns to the last saved state.
  4. Save: saves the Gantt Planning.

Creating-Editing a Lot/Phase/Activity

The creation of an object is initiated from the "+" utility bar.
An object can be modified from the utilities bar or by double-clicking on a Gantt line.

The following popup allows you to create and modify objects :

  1. Type : select the type of object to create
  2. Name : fill in the name of the object
  3. Position : optional. Select the object that will be the parent of the one being created/edited. Note: this function is not available for batches, as they cannot have a parent.
  4. Start date: Enter the start date
  5. Duration or End date: enter either the duration in working days or the end date
  6. Progress : define the object's progress. Note that this function is only available for objects that have no children. Parents automatically consolidate their children's progress.
  7. Links to / Links from : Define the links and delays between this object and other objects. More details below.

Creating and editing a Milestone

The creation of an object is initiated from the "+" utility bar.
Modifying an object is initiated from the utilities bar or by double-clicking on a Gantt line.

The Milestone popup is specialised for this type of object and displays the following information:
      
  1. Type : Milestone
  2. Name: fill in the name of the Milestone
  3. Commissioning: define whether the Milestone is of a "Commissioning" nature, i.e. the project result is made available (e.g. production start). This marking is used to highlight important Milestones in the summary views.
  4. Date: Enter the date of the Milestone
  5. Milestone reached: define the progress of the milestone
  1. Links : create/modify/delete links between objects:
    1. There are 2 tabs to choose from, depending on the way you work:
      1. Links from: the link starts from another object and arrives at the object currently being edited
      2. Links to: the link starts from the object currently being edited and ends at the designated object.
    2. Select the source or target object of the link
    3. Select the type of link
    4. Define the value of the link in days if you have enabled constraints

Interactive modification

A wide range of operations can be carried out directly in the Gantt using the mouse:
  1. Changing values in the left-hand columns of the Gantt: name, start date, end date, etc.
  2. Modify dates by extending or reducing the horizontal bars for Lots, Phases and Activities.
  3. Shift the schedule by moving the horizontal bars
  4. Change the progress by moving the cursor under the horizontal bars
  5. Create links between objects by selecting the start anchor and releasing on the finish anchor

Schedule comparison

A schedule comparison feature is available in the Gantt utility bar. This allows you to compare your current schedule with a schedule stored in a flash report.
Click on Compare, select a flash report and then click on Apply.

   


This gives you a clear view of schedule variances :

      
      
In Compare mode, your schedule becomes read-only. Click Deactivate to return to editing mode.

Summary view of the schedule

On the Project file, in the Management and Follow-up tab, you will find your project schedule in summary format: only the Lots, 1st level Phases and Commissioning Milestones are displayed.
To modify your schedule, click on the Scheduling button or go to the Scheduling / Gantt Planning tab.

If you have defined a baseline flash report, you will also see the Project baseline schedule in orange, so that you can see any deviations.   

Project portfolio overview

On the Portfolios module dashboard, click on the Portfolios tab and then on the Planning button.
You will find your projects grouped by portfolio, giving you an overview of your Project roadmap:

      
     
In the header, you can use a set of filters to select the projects you want to view and the timeframe over which you want to view your roadmap.
For each Project, you can view :
  1. its schedule, based on start/end dates
  2. its progress in % and visually
  3. its Commissioning Milestones:
    1. in red when they are late
    2. in black when they have not been reached
    3. in green when they have been reached
By double-clicking on a project line, you can access the detailed project schedule

In the utility bar on the right, you can activate the comparison with the baseline Flash reports defined for each project:


      

Exporting schedule

The Excel export of the schedule is available in the global project export.
The schedule is presented in two tabs :
  1. Planning : lots, phases and activities
  2. Milestones : milestones
