Portfolios module : Overview

Portfolios module : Overview

Introduction

The Portfolios module allows you to manage portfolios, projects and activities.
Like all Abraxio modules, it can be used independently from the others. For example, you can use this module exclusively, start with this one and then expand to the others, or start with others and add to this module later.

Abraxio is provided with a default configuration that allows you to start immediately. If you have Administrator access, settings can be changed on the relevant screens, allowing you to adjust your configuration as you go along. They are also all centralised in the Admin/Configuration/Portfolios module.

Start immediately with the standard settings and customise your environment according to your needs.

Project and Activity Portfolios

A portfolio is a collection of projects and/or activities. You can create several portfolios to structure your management if necessary.

As a reminder, in Abraxio :
  1. a Project is characterised by its IS construction purpose (Build) and its limited time frame (a beginning and an end).
  2. an Activity covers everything that is not a Project : the Run, i.e. the recurring operation of the IS and the IT Department that will be repeated from year to year.
Examples of how portfolios can be organised:
  1. according to their stakes and visibility: "Strategic Projects", "Business Projects", "Technical Projects", "Run Activities", etc.
  2. according to an organisation: "Subsidiary x", "Subsidiary y" (in this example, a portfolio contains all the projects and activities linked to a subsidiary)
  3. by nature: "Customer Projects", "Internal Projects", "TMA", "Governance and Operations".
Abraxio provides portfolio-level Follow-up and Analysis screens to facilitate overall analysis:
  1. Portfolios view: KPIs and summary by portfolio
  2. Project view: table and Gantt views
  3. Activity view: table view
  4. Workload view: Assignments and Capacity planning
All your Projects and Activities will be associated with a Portfolio.
A portfolio can be active or inactive. Inactive portfolios are no longer proposed when a project is created/modified, allowing the organisation to evolve over time.

Project and Activity

Abraxio allows you to manage your Projects from ideation to closure.

In particular, it allows you to manage the following concepts:

Each element corresponds to a block of data and offers great flexibility of use :
  1. Each organisation using Abraxio can decide whether or not to use a particular piece of information.
  2. If you decide to manage the whole Project life cycle in Abraxio, the blocks will be fed in a natural and successive way according to the stages of the Project.
  3. It is therefore possible to manage minimal information for a simple, low-strategy project, and to exploit all possibilities for a complex project.
Projects and activities follow a 3-stage lifecycle :
  1. Qualification stage: centralises projects that have been requested, are to arbitrate and to start.
  2. Started stage: groups together projects and activities in progress or recently finished.
  3. Archived stage: groups together abandoned requests and completed projects/activities that you no longer wish to see in the first instance.
This progress is declined into different states.
