Project and activity template management

Project and activity template management

1. Creating a project or activity template

A project template is created from the “Overview” tab of the “Portfolios” module.
By hovering over the chevron on the Create button, a drop-down menu appears, offering the option of creating a template.

A first window opens, proposing the creation of a Project or Activity template and the choice of its name, which is mandatory

I then have two choices. Create my model from scratch or from an existing project or activity

a. Create an empty model

By checking “To empty”, I can go straight to the editing stage by clicking on Save.

It's then up to me to fill in the various fields that will make up my model, such as: its definition, its schedule (for projects only), its risks, its sub-budget(s) and its budget lines.

Once all the elements of my model have been filled in, I can publish it to make it functional.

Info
The fields left blank can be filled in as required in your projects and activities created from your template.

b. Create a template from an existing project or activity

By checking “From an existing project”, I can decide which of the following elements I want to include in my model: project or activity definition, budget, risks and Gantt schedule.

Alert
Inactive model

When a template is created, it is inactive. Make any necessary changes before publishing it, to make it available to your collaborators.

2. Creating a project from a template

To create a project from a template, I enter a name for my project and launch the wizard.

In the Definition step, I select the template from which I want to create my project. Selecting the model in this phase will retrieve all the contents of the Definition tab, as well as the Risks.

The budget step retrieves the model's sub-budgets and budget lines

And finally, the Planning step will take over the Gantt of the model, dynamically adapting to the start and end dates I want to give my project.
Info
By leaving the end date blank, Abraxio will adapt the Planning duration to that of the template.
Now all I have to do is click on “Save” to create my project or activity from my template.

3. Editing or deleting a template

If my environment has a project or activity template, I can access it from the “Templates” insert in the bottom right-hand corner of the Portfolio Overview.

The “Active and “Inactive” columns respectively list my published templates and those awaiting publication or in the process of being set up

A simple click on them allows me to access the model and edit it.

To delete a template or deactivate it to switch it from active (published) to inactive, I click on the contextual menu at the top right of my screen:
