Pinning a sub-budget in the Finance module

When you manually create Projects or Activities from the Portfolios module, i.e. without using the mass import of Projects and Activities :
  1. This Activity or Project will be visible in the Portfolios module
  2. sub-budget of the same name will be automatically created by Abraxio in the Finance module BUT it will not necessarily appear 
    1. This sub-budget will not be visible in the Finance module if :
      1. No budget line has been created in this new sub-budget (i.e. if no budget in € or in MD is entered in the sub-budget)
      2. OR if you have not manually pinned the sub-budget in the Finance module.
If you wish to pin a sub-budget in the Finance module, you can choose to use one of the following 3 methods :

1)  Manually pin sub-budgets to the Finance module

Before pinning the sub-budget, you need to create a Project or Activity in the Portfolio module. 
You can then go to the Finance module, and click on the relevant fiscal year. The table displays your Projects and Activities sub-budgets (those containing budget lines or which have been pinned). 

1.1. To pin a sub-budget, click on : Add a sub-budget 



1.2. Depending on whether your sub-budget concerns a Project or an Activity, tick the corresponding box.




1.3. In the example below for a project, select the project you have created (in this case TEST Project) from the drop-down menu :



1.4. Abraxio will then automatically suggest you to select the “TEST Project” sub-budget. By clicking on Add, your sub-budget will automatically be pinned in the sub-budget table and appear in your budget from Finance.


2) Pin a sub-budget by entering budget lines in the Portfolio module


Before pinning the sub-budget, you need to create a Project or Activity in the Portfolios module. 

Still in the Portfolios module, click on your Project or Activity, and go to the Management tab :



To pin the sub-budget with the same name as your Project/Activity, you need to enter a budget for this Project/Activity: either a € budget (e.g. materials, licenses, etc.), or a MD budget (internal or external collaborators). 

Method 1 : Enter € budget

Click on Budget, then enter a budget line (you don't necessarily need to enter an amount on this line) and Save.



Then check in the Finance module that the sub-budget for your Project/Activity is pinned (in the current fiscal year). 

Method 2 : Enter MD budget

Click on Workload, then add a budget line, allocate time to this line and save.



Once the budget line has been recorded, you can check in the Finance module that the sub-budget for your Project/Activity has been pinned (in the current fiscal year).  

3) Pin a sub-budget automatically using bulk import of Projects/Activities

In the Portfolios module, you can import Projects and Activities in mass using the context menu (see article Mass imports).

After importing your Projects and Activities import file, Abraxio asks you at step 4 “Import” (see screenshot below), if you wish to display in the Finance view the sub-budgets of the projects created : in other words, if you wish to pin the sub-budgets. 




By checking “Yes”, Abraxio suggests you to select the fiscal year(s) to which you wish to pin the Projects and Activities created. Only fiscal years with an “Active” or “In preparation” status can be selected.





After finalizing the import, you can go to the Finance module and check that your Projects and Activities sub-budgets have appeared :
